Membership Engagement Assistant

Cambridge, MA

The American Academy of Arts and Sciences seeks a Membership Engagement Assistant to support its membership engagement initiative. The Academy’s members include some of the world’s most distinguished citizens in academia, business, government, and philanthropy. The Academy brings its members together through projects, publications, programs, and meetings to address intellectual and policy issues and develop ways to translate knowledge into action. The membership engagement initiative seeks to deepen the participation of members in these activities and create new opportunities for involvement. 

The Assistant reports to the Director of Membership Engagement and collaborates with staff across the organization to plan, implement, and track member activities.

Primary Responsibilities:

  Track member engagement activities, member service, and correspondence; update records; produce metrics and reports using the membership databases and excel spreadsheets.
  Provide support for member engagement events, including producing invitations and invitation lists, tracking responses, preparing meeting materials, creating budgets, arranging logistics, corresponding with presenters and participants, coordinating with the Events department, providing on-site event management as needed, and implementing post-event surveys or other follow-up.
  Support the work of local program committees, including scheduling meetings, preparing and sending materials, organizing logistical details, communicating with participants, and coordinating follow through.
  Draft, edit, and proofread correspondence, briefing materials, presentations, and reports.
  Identify, implement, and document best practices for planning, implementing, and tracking member activities.

Minimum Qualifications:

  Bachelor’s degree or equivalent experience
  Excellent writing and interpersonal communication skills
  Strong member-service orientation and good judgment
  Attention to detail, organizational skills, and follow through
  Ability to work efficiently, juggle competing priorities, and meet deadlines in a fast-paced setting
  Proficiency in Microsoft Office (Excel, PowerPoint, Word), Adobe Acrobat, various document processing and database applications
  Experience with constituent databases, experience or ability to learn to enter and extract data and produce reports
