Program Associate for Education and the Development of Knowledge

Position Description:

Founded in 1780, the American Academy of Arts and Sciences is an independent policy research center that conducts multidisciplinary studies of complex and emerging problems. The Program Associate provides logistical, research, and programmatic support for the projects within the Program area for Education and the Development of Knowledge.

Primary Responsibilities:

  Provide day-to-day logistical support for the program area, including event coordination for meetings, conferences, and symposia. This includes, but is not limited to, preparing conference materials, booking travel and lodging, liaising with conference facilities, processing travel reimbursements, and providing on-site staff support.
  Manage project budgets and track expenditures/transactions for aspects of the project that the programs area is directly involved with (events & meetings; travel; consultant salaries; publications).
  Coordinate production, processing, and distribution of formal and informal documents and project deliverables.
  Maintain and update program-related tracking reports and project summaries.
  Draft and edit grant applications; work closely with development office to manage grants.
  Research and draft literature reviews, annotated bibliographies, and briefs to inform current and future projects.
  Draft, edit and proofread concept papers, reports, remarks, correspondence, presidential briefings.
  Track relevant policy research and legislation underway at various organizations and institutions to inform internal team strategy and future project activities.
  Support the program area’s public relations and outreach activities, including working with the Communications department to monitor policy outcomes and working with the webmaster to update website content.
  Assist Program Director with the development of the program area, including assessment of project needs and implementation of strategies to meet those needs.
  Lead, when appropriate, minor programmatic initiatives.
  Performs other job duties as assigned.

Minimum Qualifications:

  Bachelor’s degree required, Master’s degree preferred.
  At least two years relevant experience.
  Strong attention to detail and excellent organizational and event-management skills.
  Experience with budget-tracking and management.
  Strong writing, research, and proofreading/editing skills; successful grant writing experience preferred.
  Ability to display initiative and follow-through skills.
  Ability to comfortably and professionally interface with a wide range of constituents, including Academy members, staff, and the public at large.
  Ability to learn quickly, prioritize tasks, and work accurately under pressure.
  Ability to creatively problem-solve and be flexible to work in a changing environment.
  Ability to exhibit confidentiality and good judgment.
  Proficiency in Microsoft Office (Excel, Access, PowerPoint, Word), Adobe Acrobat, various document processing and database applications, and social media.

Position Type:

Full Time


Starting salary range of $52K - $58K, commensurate with experience. Full benefits, including health, dental, retirement, and paid time off are included.
